The Web Site Committee

The first meeting of the committee was held on Thursday 2 August 2001 at the home of David Tall.

Present:
David Tall, Anna Watson, Roy Shearing, Colin Chatham, Brian Bridges and Howard Burgess.

Apologies:
David Rees and Bernard Beadle 

Preamble:
It was decided that Anna would be known as International Advisor and Colin would be PC49!

Officers:
David Tall was elected as Chairman and Web Master. Roy Shearing was elected as Vice Chairman. In his absence Bernard Beadle was elected as Secretary.

The Committee is therefore:
David Tall (Convenor, Web-Master), Bernard Beadle (Hon. Sec.), Roy Shearing (Keeper of the Web, Vice Chairman), David Rees (Venerable Advisor), Howard Burgess (Advisor for the IT-Challenged), Anna Watson (International Advisor), Brian Bridges (PC Wiz), Colin Chatham (PC 49).

Constitution:
Web Master David Tall read out the proposed constitution and this document was agreed unanimously:

The committee is responsible for formulating guidelines concerning the security and content of the site, together with maintaining and delegating the style, content and upkeep, including regular updates of content. Individuals may be delegated some aspect of the activity, eg upkeep of a specific page or with a supply of fresh information. The Hon. Sec. is responsible for keeping the Committee and the Club informed and for keeping in touch with those delegated jobs by the committee. The location and passwords required should be known to at least three members of the committee at any given stage.

Web Site:
The web site will be at the address http://www.kenilworthrotary.org.uk.

Further information pertaining to the web-site is currently known, at least, by David Tall, Bernard Beadle and Roy Shearing.

Security:
It was agreed that the current state of the Web is satisfactory and the present system for e-mail should continue. All members will be given a private address consisting of their first name and their surname followed by @kenilworthrotary.org.uk. This will ensure that all mail will either be collected on the main address or will be re-directed to their own E mail address. Any other information regarding any member can only be given following the obtaining of the member’s express permission.

It was further agreed that we would develop a secure part of the web site accessed only by a password known only to members on which members’ name, address and telephone numbers would be kept.

Style and Content:
It was agreed that our target audience would be members, potential members, visiting Rotarians and the general public.

The site will contain information about forthcoming events and the result of any event e.g. Funds raised or competitor results, as in Two Castles Run. Also to be included would be press releases and PR.

At some stage in the not too distant future we will agree some key words to assist with searching.

Roy Shearing is concerned that the home-page should be fast loading. The site will use stable home-page links wherever possible (and not use links to files whose address may change). It will use pictures, as and when available, and considered appropriate.

Consideration will be given in the future for the inclusion of individual pages for the various service committees.

Roy will endeavour to use the web site for compiling the diary of events and weekly speakers for all to see, and will be able to use this for printing out his usual list to give to all members.

Any member who considers himself or herself competent will be encouraged to write pages.

David, in his capacity as Web Master will ask all members to submit articles to be included on the site. David will also ensure that the site is updated at least monthly. News items will be reviewed from time to time.

Secretary:
Will the secretary please notify address to: RIBI, RI, District 1060 and Kenilworth Town Web Site.

Please write to RIBI and suggest that they adopt a logical approach to web sites and advise them that David Tall is prepared to act as advisor.

Ask the DG to sort out the two 1060 Web sites which are confusing at the moment.

Would the Secretary please encourage all members to include our Web site address on all correspondence and ask our Press Officer to include this information within or at the end of any information supplied to the press.

The formal meeting closed at 9.30 p.m. and was followed by supper and a practical demonstration and discussion, which went on for some time.
